WORKING ON THE PNL CALENDAR
Gathering listings
- There’s a list of regular events/meetings that should be listed every month unless we hear otherwise. Every few months, you should call the contacts to make sure events are still happening and check on the schedule.
- SPC and the PNL receive many emails each month regarding upcoming events. We can forward them to your email or print them out.
- Many announcements are also mailed or dropped off to our office. It’s easiest if you are able to stop in and pick these up, although we can fax them if necessary if there aren’t many.
- The SPC website (Upcoming Events)
usually has an up to date list of all of our upcoming events that should be
listed on the calendar.
- All hard copies of events listings are kept in the PNL mailbox in our office.
Entering on the Calendar
- The basic layout of the calendar should remain consistent month to month, including the bar at the top listing the days, the return address & logo, our slogan and the complimentary copy/subscription issue. There are other standard pieces that can be moved around depending upon where there are blank days (good to keep them at the beginning or end of the month), such as the info on how to list events and the Month/Year of the calendar.
- When listings are sent to us, they usually contain much more information than we can fit on the calendar. The essentials are: title, location (including street address), time, price, contact info (ph# is most important, name & email if space). Depending upon space and how self-explanatory the item is, you might want to include sponsoring organization & brief description (ie, "film", "panel presentation", "discussion" etc)
- Style notes: There are several stylistic standards we use – some because we find them useful for clarity, some just to be consistent month to month.
- Each listing should be entered as a separate text box
- Events should be listed with some logic, either chronologically or with the most important events first
- Bold event/meeting titles
- Place a text box around SPC events (bolder than the regular calendar lines so they look different)
- Periods after abbreviations
- Only include city with listing if it’s NOT in Syracuse
- Only abbreviate if it’s necessary for space
- Text is justified
- When changing date numbers, it’s easiest to keep them in one horizontal line across the week, unless the amount of entries on a particular day makes it necessary to change the size of that day.
PNL Monthly Schedule
The PNL usually goes to the printer the last Tuesday of each month. We proof the copy the weekend before and work on corrections the Monday before so it’s good to have a final draft the Friday before it goes to the printer.
